Weight Loss by Gina is seeking a detail-oriented and motivated Human Resources Assistant to join our growing team. Reporting to the Chief Operating Officer, the Human Resources Assistant will undertake a variety of HR administrative duties to support the operations of the Human Resources department while maintaining strict confidentiality. The ideal candidate will be a self-starter, resourceful, and adapt quickly to changing situations. This role will provide essential HR support, including compliance, recruitment, onboarding, employee support, payroll, and HR program management.

Key Job Responsibilities include but are not limited to:
Compliance
- Maintain compliance with company policies and industry regulations.
- Assist in updating and maintaining company policies and procedures.
- Maintain up-to-date health and safety and employment manuals.
Recruitment, Onboarding, and Offboarding
- Coordinate the recruitment process by creating job postings, interview questions, screening candidates, and scheduling interviews to maintain a robust pool of candidates and hire individuals who are a cultural fit with Weight Loss by Gina.
- Coordinate the onboarding process including preboarding, onboarding, and new hire check-ins.
- Lead the offboarding process through ADP Workforce Now.
- Create and maintain up-to-date job descriptions.
Employee Support
- Respond to employee and management inquiries with professionalism and efficiency.
- Maintain employee records in ADP Workforce Now by tracking employee attendance, use of vacation and sick days, hours worked, and keeping up-to-date employee files.
- Prepare and distribute HR communications, policies, and procedural updates.
- Distribute employee birthday cards.
Payroll
- Assist in managing the payroll process, ensuring accurate and timely payroll execution for all employees through ADP Workforce Now.
- Verify timekeeping records and resolve any discrepancies.
- Track and manage business reimbursements.
- Answer employees’ payroll inquiries and concerns.
- Assist in managing the year-end process by verifying information, creating T4s and T2200 tax forms, and working closely with the company accountants to ensure accuracy.
- Create and file employee ROEs through ADP Workforce Now when required.
HR Program Management
- Assist in developing key HR initiatives.
- Maintain the human resources information system (ADP Workforce Now) and engagement system (Officevibe).
- Support employee engagement initiatives.
- Assist in leading and managing the performance management process through ADP Workforce Now.
- Lead HR reporting by tracking key metrics, such as attendance, turnover, and engagement.
- Compile monthly and quarterly HR reports.
- Lead and manage the reward and recognition program.
- Create and distribute the monthly staff newsletter.
Required Skills/Abilities
- Outstanding written and verbal communication skills.
- Outstanding knowledge of MS Office, Google Workspace, Zoom, and ADP Workforce Now is a must.
- Ability to handle confidential business matters and information with discretion.
- Excellent organization, time management, and attention to detail skills, with the ability to prioritize tasks and handle multiple deadlines.
- Ability to juggle changing priorities while maintaining a positive attitude.
- The ability to work independently as well as in a team environment.
- Self-motivated and self-directed.
- Ability to work under pressure.
Education and Experience Requirements
- Post-secondary education in human resources, or related field (or equivalent experience).
- Proven experience working in an HR department is preferred.
- Experience in a fast-growth start-up environment is considered an asset.
