What role we're hiring for:
We are a growing fintech organization looking to add a
People Operations Coordinator in
Austin, Texas! This is an in-office position based out of our headquarters in downtown Austin.
Founder & Executive Support
- Provide high-level administrative support to the CEO, founders, and Head of People including managing schedules, coordinating meetings, and handling sensitive information with discretion.
- Arrange seamless travel logistics, including flights, accommodations, and transportation, ensuring efficiency and minimal disruptions.
- Proactively anticipate executive needs, offering solutions and support before being asked.
- Assist with crafting professional, error-free emails, reports, presentations, and ad hoc projects, demonstrating strong attention to detail and thoughtful execution.
- Adapt to evolving priorities and take on diverse responsibilities as needed.
Employee Experience & Events
- Serve as a visible, approachable presence in the office and virtually, ensuring global teams feel supported and empowered to navigate workplace needs.
- Plan and execute company events, meetings, and team-building activities to foster a positive and engaging culture.
- Lead employee appreciation initiatives, recognizing holidays, birthdays, anniversaries, and key milestones across the company.
- Manage company swag and branded gifts for employees, new hires, and special events, ensuring quality and timely distribution.
- Support internal communication efforts by drafting and distributing company-wide announcements, newsletters, and event promotions.
Office Management & Coordination
- Oversee daily office operations, ensuring a smooth, organized, and efficient workspace.
- Coordinate with vendors for office maintenance, supplies, and services.
- Manage office access, seating arrangements, and workspace reservations.
- Maintain a clean, safe, and well-equipped environment, liaising with building management as needed.
- Serve as the primary point of contact for global team needs related to office operations, logistics, events, and support.
What Experiences and Skills Are Necessary to Be Successful in This Role
Required Qualifications
- 1 – 3 years of experience as an Office Manager, Administrative Coordinator, Executive Assistant, or similar role.
- Strong problem-solving skills with the ability to work independently in a fast-paced, evolving environment.
- Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable using technical tools to improve workflows.
- Excellent communication and interpersonal skills, with high emotional intelligence to anticipate and respond to the needs of executives and employees.
- Ability to facilitate multiple initiatives across a global environment while maintaining an internal customer service mindset.
- Proactive, adaptable, and eager to learn, with a strong work ethic and positive, can-do attitude.
Preferred Qualifications
- Experience supporting People Operations or HR-related tasks such as onboarding, employee engagement, and confidential data management.
- Strong attention to detail with the ability to produce error-free, professional communications.
