Role Purpose:
You will take responsibility for internal communications with a goal to inform, educate and inspire our network of colleagues to be the best they can be. The communications you deliver will better enthuse collaboration and operational efficiency and will bring the Ultima culture to life.
You will expertly manage and evolve core communications channels such as the weekly Pulse internal newsletter, CEO coffee mornings, quarterly employee events, HIT team projects ( such as Employee experience, Sustainability, Women in Tech) and will take responsibility for ensuring a dynamic and up to the minute intranet.
You will initiate daily interaction with different departments and marketing colleagues to help promote activities and events that are happening across the business and will be responsible for high quality content and collateral such as articles, blogs, news features , in-office digital screen presentations and videos, ensuring brand consistency across all communication tools delivered.
You will act as an internal brand ambassador, championing our values and supporting Ultima’s positive culture by continually finding new ways to improve employee experience

Main Duties and Responsibilities:
- Devise, implement and manage a 12 month communications programme maintaining a communications calendar of themes, key activities, employee and national awareness days which drives departmental collaboration and clarity on resources and funding.
- Deliver monthly reporting on employee engagement levels, feedback and actions including the employee survey
- Audit and manage the departmental and document templates, new brand identity implementation, tools, channels and internal communication programmes and action areas for improvement.
- Manage the All Company weekly newsletter The Pulse acting as the lead for news, views and information and proactively working to get cross functional content as well as external ‘Things to look out for e.g press/PR/social activity
- Manage the weekly content schedule for The HUB: Homepage/calendar/events/new articles and work with content authors to get these delivered.
- Create and co-ordinate the forward plan for ongoing intranet development e.g interactive sales centre, vendor showcase, special interest communities such as Women in Tech..etc
- Establish and manage the delivery of an Ultima photography and video library identifying gaps and helping to pull together the quarterly production schedule for both the in-house film studio and external film production agencies
- Act as SPOC for key Executive communications including personal profile build for press and PR and quarterly customer publication
- Co-ordinate and manage the Ultima annual event programme including the annual high achievers event called Ultima’s ULTIMATE. This is an opportunity to redefine what an Ultima event should look like and the experience that should be associated with the Ultima brand moving forward.
Knowledge, skills and experience:
- Educated to A level. Degree in Marketing, Internal Communications or Events
- 2 years + working in a complex, multi-layered environment in a marketing communications capacity
- Previous experience in IT or a related technology environment helpful but not essential
- Highly literate with strong written and oral communication skills
Key Competences required for the role:
- Experience in arrange of communication and digital ‘first’ channels.
- Ability to co-ordinate and manage delivery of planned, sustained communications.
- A people person with creative flair, a passion for brand communications and a positive attitude towards delivering effective new ideas to affect positive change
- Excellent oral and written communication
- Confident presentation style with the ability to advise colleagues at all levels on communication best practice internally and externally
- Ability to prioritise and balance work priorities, organise own workload, work with minimal supervision, and under pressure to meet deadlines
- A great organiser with a love for making employee experiences great – whether virtual, digital or in-person
- Experience and/or willingness to improve knowledge and application of internal communication tools, Video editing software, Sharepoint, Adobe Creative and Editing Suite, Powerpoint plus standard Microsoft Officetools.
