Job Summary:
The Office Manager oversees daily office operations, ensuring administrative efficiency, policy compliance, and a positive work environment. This role involves managing office resources, coordinating tasks, supporting staff, and delivering exceptional customer service.
Key Responsibilities:
Office Management:
- Organize and oversee office operations and procedures.
- Ensure the office is clean, organized, and well-stocked with supplies, products, snacks, and water.
- Prepare for external visitors by offering coffee, snacks, and meals, and ensure areas are organized and cleaned afterward.
- Greet visitors and create a welcoming office environment.
- Receive and distribute incoming and outgoing correspondence, including mail and packages.
- Collaborate with the building's management and facilities team on requests and utilize building's online maintenance portal as needed.
- Prepare the office budget and monitor expenses.
- Organize happy hours and events, ensuring areas are cleaned afterward.
- Oversee vendor relationships for office equipment, supplies, and services.
Human Resources:
- Lead the pre-onboarding process, including sending welcome emails, key card issuance, partnering with team leaders on intro meetings and scheduling.
- Create a cohesive and organized onboarding process by partnering with Human Resources, IT, and team leaders.
- Organize training sessions and professional development workshops.
- Monitor attendance and ensure punctuality.
- Support Human Resources around Recruitment including but not limited to posting approved Job Descriptions, scheduling candidate interviews, system maintenance and updates to our ATS, and communicating updates on roles to applicable team leaders.
Office Maintenance and Safety:
- Oversee office maintenance and cleanliness, coordinating with maintenance staff and service providers.
- Ensure compliance with health and safety regulations through regular checks.
Technology and Equipment:
- Coordinate with IT to ensure all office technology functions properly and new equipment requests are approved and purchased in a timely manner.
Communication and Coordination:
- Manage relationships with vendors, service providers, and office guests.
- Facilitate effective use of office communal spaces including conference rooms, phonebooths, and lobby areas.
- Book travel, hotels, and flights for all employees and contractors, ensuring the best prices through thorough checks.
Strategic Planning and Development:
- Identify and implement process improvements to enhance efficiency and productivity.
- Partner with Human Resources to develop and update office policies and procedures as needed.
- Partner with Human Resources to address and resolve conflicts or issues within the office.
Requirements:
- Minimum 2-3 years experience in Office Management and/or Talent Acquisitions (experience in retail/beauty/fashion recruiting is a plus)
- Experience using Google Suite is preferred
- Previous experience with Applicant Tracking Systems and Candidate Relationship Management tools
- Previous Onboarding and Employee Engagement Experience is a plus
