The Event Manager is instrumental in delivering exceptional, world-class trackside experiences for our VIP guests. Responsible for overseeing all operational and logistical aspects of the programmes, the Event Manager ensures the flawless execution of each event. With a strong focus on leadership, this role involves collaborating with both internal and external stakeholders to create innovative and seamless guest experiences. From meticulous pre-event planning to thorough post-event analysis, the Event Manager ensures that every detail upholds the high standards of the Aston Martin Aramco Formula One® Team.
The role is based in Silverstone, with regular travel to London and trackside support at races throughout the F1 calendar.
You will be responsible for:
Paddock Club Guest Programme Management: Management of dedicated Paddock Club programmes, including pre-event planning, on-site execution, and post-event follow-up.
Guest List Ownership: Take full responsibility for managing Paddock Club guest lists, ensuring accuracy and timely updates to provide a personalized experience.
Guest Communications: Manage pre- and post-event communications for Paddock Club guests, including creating attendee guides to enhance their experience.
Hospitality Planning: Oversee planning and execution of Paddock Club hospitality operations for international races, ensuring seamless delivery.
Yacht Programme: Support the Monaco Yacht Programme and other secondary events as needed.
Freight and Inventory Management: Manage on-site freight, stock inventory, and setup/pack-down of Paddock Club operations at races.
Enhancing Paddock Club Experiences: Curate and implement innovative ideas to elevate guest experiences, ensuring world-class hospitality and unique trackside engagements.
Bespoke Partner and AMF1 Activations: Lead the development and execution of bespoke activations within the Paddock Club, collaborating closely with the Head of Trackside and Senior Operations Manager.
On-site Supplier Coordination: Ensure effective coordination with all on-site suppliers, managing logistics and ensuring health and safety documentation is in place.
On-site Lead for Partner Activations: Serve as the lead for partner activations within the Paddock Club, ensuring seamless execution during both build and on-site phases, maintaining communication with the Partner Manager and partner contacts.
Innovation and Commercial Opportunities: Introduce innovative concepts to add value to the Paddock Club programme and drive commercial revenue opportunities.
Partner Integration & Assets: Develop new assets and ideas for the partnership portfolio to enhance trackside experiences.
Sustainability and CSR Support: Contribute to sustainability and CSR initiatives, with a focus on trackside activities.
Gifting Strategy Development: Lead the development of the gifting strategy to enhance guest experiences.
Budget Management: Oversee dedicated event budgets, ensuring cost-effective decisions in line with financial expectations.
Data Capture and Reporting: Assist in capturing and analysing data from trackside programmes, providing insights for continuous improvement.
Paddock Events & Off-Track Events: Support the Event Manager – Paddock & Head of Off-Track Events, with car launches, paddock programmes and other events as required.
Prospects: Collaborate with the New Business team to create innovative ideas and experiences to support the sales process.
Post-Event Debriefs and Updates: Lead post-event briefings, debriefings, and commercial updates to ensure alignment and that the department is well-informed.
Research and Analysis of Luxury and Global Brands: Conduct ongoing research and analysis into leading luxury and global brands to ensure we stay informed of industry trends, best practices, and innovations, ensuring our offerings remain competitive and aligned with the highest standards.
What you will need to be successful in this role:
Willingness to travel Internationally.
Event Management experience is essential.
High attention to detail with a strong focus on precision in all tasks and deliverables.
Have the ability to work effectively across budget management.
