About the role
The HR Assistant role is a support function providing a customer focused and effective HR support service to the Organisation to assist in achieving the department’s objectives.
The role will provide a comprehensive administrative support to the day to day operations of the HR Department, ensuring efficient delivery of HR processes and maintaining the accuracy and confidentiality of employee records. In conjunction with the HR Manager, HR Business Partner and HR Advisor, the role will ensure that internal and external customers are provided with timely key information on HR processes and procedures.
Administrative duties
- Administration of Time & Attendance system for the HR team
- Error reporting of Time & attendance SAP HR 170 PT40
- Manage absence administration, including collating sick notes and RTW documentation, updating the absence spreadsheet, updating and administering Statutory Sick Pay, monitoring employee absence levels and advising managers’ regarding trigger levels
- Long service awards administration for the UK - leasing with Lübeck & support arranging travel to Lübeck when required
- Manage HR Mailbox daily & assign requests
- Day to day queries / advising - HR policies & procedures
HR Processes & Procedures (including correspondence)
- Administration of maternity, paternity, adoption, shared parental leave requests
- Preparation of annual salary & bonus letters
- Review and updating SOP’s and DMN’s
- Review & update templates / processes (inc D-World)
- Preparation of employment contracts and offer letters, including any employment change letters and processing new employees to the company
- Administration of leavers process
- Monitor probation end dates, reporting from SAP and preparing end of probation letters
- Administration of learning agreements, including the preparation of letters
- Preparation of letters, including but not limited to, flexible working requests, reference requests, patent awards etc.
- Updating of SAP HR 170 system e.g., Onboarding, leavers, Probation, Long service, personal details, change in employment terms, annual salary & bonus logging of OFM’s, sickness, DBS etc., and generating ad-hoc reports
- Preparation of meeting agendas and action lists
- Ensure department stationery requirements are fulfilled inc. SAP DW1 Purchase requisition process
- Security clearance process Annex B / BPSS / KC process/ D&S roles
- OFM system updating / maintaining inc Extraordinary Access documents for Legal dept.
- DBS system / reporting & maintaining
- Improvement of HR Processes / continuous improvement
- Additional administrative duties as required
Discipline & Grievance
- Organise and collate information, e.g. investigation notes, absence reports
- Act as note taker within meetings
- Preparation of invite and outcome letters
Occupational Health
- Administration and organisation of occupational health schedules, including invites, logging reports and arranging follow-up appointments
- Organising medicals and ensuring FFW received and reviewed
Recruitment – Cover only
- Administration of the recruitment life cycle, from receipt of personnel requisitions through to arranging and supporting interviews and commencing the new starter process
- Fulfillment of temporary worker requirements, associated administration including completion of temporary worker checklist
- Completion of first day induction and support with Corporate Induction

Your Qualifications
Role Requirements
Education/Qualifications
- GCSE math’s and English or equivalent – highly desirable
- A Level or equivalent - desirable
Related Experience
- Previous experience within an HR Department - desirable
- Working knowledge of HR processes and procedures - desirable

- Ability to work under pressure in an organised manner and meet deadlines
- Excellent attention to detail
- Ability to recognise and maintain confidentiality with information
- Customer focused to meet the needs of internal and external customers
- Competent key board skills to produce accurate and well presented correspondence

- Effective communicator, both written and oral
