Opportunity
The Human Resources Coordinator is responsible for providing comprehensive HR support and ensuring the smooth execution of onboarding, offboarding, and day-to-day HR processes. This role requires excellent organizational skills, attention to detail, and the ability to handle sensitive information with discretion.
Responsibilities
- Onboarding & Orientation:
- Draft offer letters and initiate the onboarding process.
- Schedule and conduct new hire orientations, complete I-9 verifications, create and update new hire profiles in ADP, and manage background screening.
- Serve as a point of contact for new hires, addressing questions and ensuring a positive onboarding experience.
- Offboarding:
- Initiate and manage voluntary exit procedures and paperwork.
- Schedule and conduct exit interviews for voluntary terminations, process terminations in ADP, and complete backend termination steps.
- Ensure timely collection and documentation of company property during offboarding, in partnership with the IT team.
- Employee Records & Compliance:
- Track employment end dates for temporary staff and proactively follow up with hiring managers.
- Maintain and update onboarding and offboarding materials, ensuring compliance with company policies.
- Manage accurate I-9 documentation and compliance.
- Maintain union and non-union employee records in ADP and other systems as necessary.
- HR Operations:
- Respond to employee inquiries, providing guidance on routine questions and escalating more complex issues to the appropriate HR team members as needed.
- Process employment changes such as promotions, pay increases, status changes, and other HRIS updates.
- Handle verifications of employment requests.
- Track and process responses to unemployment claims.
- Database Management & Reporting:
- Maintain and update employee databases and departmental files with accuracy and confidentiality.
- Generate and analyze ad hoc reports and assist with special projects as needed.
- Support HR audits by ensuring all records and files are up-to-date and organized.
- Employee Relations:
- Provide support for employee engagement initiatives and HR communications.
- Assist in coordinating HR events and programs, such as trainings or celebrations.
- Other Duties:
- Collaborate on process improvement initiatives within the HR department.
- Perform other related duties as assigned by HR leadership.
Required Skills & Qualifications
- Experience & Knowledge:
- 1-2 years of proven experience as an HR Coordinator or in a related role.
- Familiarity with HRIS systems (e.g., ADP Workforce Now) and general HR administrative principles.
- Knowledge of employment laws and compliance requirements.
- Technical Skills:
- Proficient in Microsoft Office Suite.
- Experience working with HR databases and reporting tools.
- Soft Skills:
- Strong interpersonal, communication, and problem-solving skills.
- Exceptional attention to detail and organizational skills.
- Proven ability to multitask and prioritize in a fast-paced environment.
- Demonstrated discretion and professionalism in handling sensitive information.
- Collaborative team player with a proactive approach to challenges.

Education
- High School Diploma or equivalent required.
- Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
