About the Role
As a Workforce & Scheduling Associate, you will play a pivotal role in ensuring that Aetheria Group brands operate within regulatory and legislative guidelines. This is a hands-on workforce and scheduling role where you will learn how to schedule teams of health and social care staff, onboard new applicants, guide and support a dedicated and caring workforce, uphold rigorous compliance standards, and contribute to ensuring that children and young people receive the care and support they need during challenging times. This role offers an excellent opportunity to develop skills in workforce coordination, compliance, and social care operations while making a meaningful impact.
The successful applicant will be supported by a highly experienced and positive Associate Director, who has worked alongside our Group CEO for 11 years in this field.
Key Responsibilities:
• Ensure the health and social care workforce adheres to compliance processes, maintaining full alignment with legislative acts, government regulations, and framework contractual obligations.
• Schedule and coordinate shifts for health and social care staff, ensuring adequate coverage and efficiency in service delivery.
• Assist in onboarding new applicants, ensuring all compliance checks, documentation, and training requirements are met before deployment.
• Maintain accurate records of workforce availability, assignments, and compliance status.
• Support workforce planning efforts, ensuring the right professionals are placed in suitable roles based on skills, experience, and client needs.
• Liaise with internal teams and external stakeholders, including care providers, social workers, and healthcare professionals, to ensure seamless service delivery.
• Monitor and track workforce performance, flagging any compliance or scheduling issues for resolution.
• Ensure safeguarding protocols are strictly followed to protect vulnerable individuals receiving care.
• Assist in responding to workforce-related queries, offering guidance and support to staff regarding schedules, compliance, and policies.
• Contribute to continuous improvement initiatives, identifying areas for enhanced efficiency, process automation, or better workforce management practices.

• Strong organisational skills with the ability to manage multiple tasks and priorities.
• Attention to detail, ensuring accuracy in compliance, scheduling, and workforce records.
• Excellent communication skills, both written and verbal, to liaise with staff, stakeholders, and external partners.
• Ability to work in a fast-paced environment, responding effectively to workforce and scheduling demands.
• A proactive and problem-solving mindset, capable of identifying and resolving scheduling or compliance challenges.
• Understanding of compliance requirements in the health and social care sector (or willingness to learn).
• Compassionate and people-focused approach, ensuring the workforce is well-supported and motivated.
• Basic IT proficiency, including Microsoft Office (Excel, Word, Outlook) and workforce management systems (or willingness to learn).
• Ability to follow processes and work within regulatory frameworks, ensuring full adherence to legislation and contractual obligations.
• A team player with a willingness to learn, grow, and develop within the role.
