Operations Coordinator

We pride ourselves on fostering a collaborative and supportive work environment. We are seeking a highly organized and personable Operations Coordinator with HR support and light bookkeeping responsibilities to join our team.

Position Summary: The Operations Coordinator will play a pivotal role in ensuring the smooth operation of our office, supporting HR functions, and managing basic bookkeeping tasks. The ideal candidate will have at least 5 years of experience, excellent organizational and interpersonal skills, and a high level of confidence working with Excel or Google Sheets and QuickBooks Online.

This position is an in-office position by the nature of the responsibilities.

Salary range: $65 - $80K

Requirements

Office Management:

Oversee day-to-day office operations to ensure efficiency and organization
Manage office supplies, equipment, and vendor relationships
Coordinate office events and meetings and travel for team, including scheduling and logistics
Serve as the primary point of contact for office-related inquiries
Tracking of tools, usage, assigning licenses, troubleshooting

HR Support:

Assist with recruitment processes, including posting job openings, scheduling interviews, screening candidates, and onboarding new hires and equipment
Maintain employee records and ensure compliance with HR policies and procedures
Support employee engagement initiatives and address general HR-related inquiries
Coordinate payroll and benefits administration with external providers as needed

Bookkeeping:

Manage client invoicing and track accounts receivable
Reconcile expenses and monitor cash flow
Assist in preparing financial reports and maintaining accurate records in QuickBooks Online

Qualifications:

Minimum of 5 years of experience in office management, HR support, and bookkeeping roles
Proficiency in Excel or Google Sheets and QuickBooks Online
Strong organizational skills and attention to detail
Excellent interpersonal and communication skills
Ability to handle confidential information with discretion
Self-motivated and able to work independently with minimal supervision
Engaged by working on multiple different types of work and projects
