Workplace Experience Manager
Vaco is conducting a confidential search on behalf of a cutting-edge technology organization for an experienced Workplace Experience Manager to oversee operations and employee engagement at their dynamic headquarters. Specific client details will be shared with shortlisted candidates.
Position Highlights
- Duration: This is a 9-month contract-to-hire opportunity with the potential for extension or conversion to a full-time role. You will work as a W2 employee through Vaco during the contract period.
- Location: Based in Redwood City, CA, this position requires on-site work Monday through Thursday, with Fridays remote. Candidates must reside within a reasonable commuting distance of Redwood City, CA, as fully remote candidates will not be considered.
- Start Date: The organization is seeking a candidate who can begin as soon as possible, pending onboarding, background checks, and IT provisioning.
- Hourly Pay Range: $37.00 - $41.00 per hour (W2).
- Important Note: Due to strict budgetary constraints, inquiries or applications requesting pay beyond this range cannot be considered during the contract period.
- There is potential for competitive compensation and benefits upon conversion, contingent on performance and organizational fit.

About the Role
As the Workplace Experience Manager, you will play a pivotal role in fostering an engaging, efficient, and collaborative work environment. Your work will ensure employees feel supported, connected, and energized.
Responsibilities
Employee Engagement & Communication:
- Plan and execute in-person and virtual events to build community.
- Design and implement programs to enhance employee experiences.
- Communicate updates and foster engagement through tools like Slack and email.
Office Management:
- Ensure the office is organized, safe, and welcoming for employees and guests.
- Oversee supplies, kitchen stocking, and office equipment maintenance.
- Coordinate with vendors for snack orders, office meals, and facility improvements.
- Manage building access, badging, and visitor protocols.
Onboarding and Distributed Workforce Support:
- Facilitate seamless onboarding for new hires and offboarding for departing employees.
- Act as a key resource for employees visiting unfamiliar office locations.
- Use a ticketing system to respond to inquiries and requests.
Facilities Coordination:
- Work with building management to address facility issues.
- Oversee shipping, receiving, and vendor services.
- Respond to emergencies and implement safety measures.
Qualifications
Experience:
- Five years of relevant experience, including at least one year in a supervisory role.
- Proven ability to manage events, operations, and complex projects from start to finish.
Skills:
- Strong interpersonal, written, and verbal communication skills.
- Customer-focused mindset with a proactive approach to problem-solving.
- Proficiency in tools like Excel, Google Sheets, Slack, and familiarity with virtual collaboration tools like Zoom.
Attributes:
- Creative thinker with the ability to work independently and collaboratively.
- Strong organizational skills and attention to detail.
Physical Requirements:
- Comfortable lifting up to 20 pounds and assisting with physical office setup tasks.
